Add new fields to existing Folder
« on: April 07, 2011, 10:19:21 AM »
After adding additional fields to an existing Application Group we now try to expose these in existing Folders mapped to the App Group - however, the Admin Client doesn't seem to allow new fields to be added to an existing Folder.

Is this expected behaviour? Should we create a new Folder to expose the new fields?

Thanks for any guidance,
Mark.

Hello Mark!

Ho yes, it's unfortunately the expected behaviour. You need to do the following:

1. Rename the folder
2. Copy the folder back to the old name, but before clicking OK to finish the copy go to step 3
3. Add the field in your folder
4. Click ok to finish the creation of your folder copy
5. Check the new folder
6. Add the rights of the cabinets of your new folder (in case you have defined some cabinets)
7. Remove the old folder if not needed anymore

Cheers,
Alessandro

Additional info:

If you add 2 new fields into the application group, and these 2 new fields are not defined into the application indexer information, you will get this error message:
+ARS1130E BAPOD01 15 FIELDS SUBMITTED BY THE INDEXER, 17 EXPECTED
You?ll therefore need to define a default value for these two new fields into the ?Load Information? tab of the application, using the OnDemand Administrator client.

Well... I will not consider what you say as a general advice to anybody.

As a general advice, you need to check what you will do and how these fields will be used.

If the data MUST have these 2 new fields, because you have changed your dataflow, then you must ensure that after the change, all new documents to be archive MUST have these 2 fields, then you will NOT put a default value.
If the data you are receiving, might come from different sources, and not all sources have updated to the new indexing specification, then I agree with you, the default value is the way to go.

So as a general advice:
First check your needs, and then apply the solution for this need, and NEVER use a general advice, which might not apply to your specific situation.
